MCGS Recording Secretary, Job Duties
 
2010 MCGS Constitution and BY-LAWS, Duties of the Officers, Article IV
“Section 5. It shall be the duty of the Recording Secretary to record the Minutes of the meetings of the Society in a book to be kept for that purpose. The Recording Secretary shall sign his/her name on all bank accounts held by the society.”
 
Board meetings:
 
Attend Board meetings and take minutes (September, October, November, December, January, February, March, April, May, June, July. No meeting in August.).
 
Email copies of the minutes after the Board meeting.
 
Review minutes at the following meeting and note corrections.
 
Members approve the minutes with any corrections.
 
File the Board minutes with other pertinent handouts (i.e. Treasurer’s reports) in the designated folder in the MPL/MCGS Office.
 
Email the approved minutes to the web master to be placed on the MCGS web site.
 
General Membership Meetings:
 
Attend General Membership meetings and take minutes. (September, October, November, January, February, March, April, May, and June. No minutes taken at the July Picnic gathering. No meeting in December and August.)
 
Read the General Membership minutes at the following meeting and note corrections.
 
Members approve the minutes with any corrections.
 
Approved minutes are emailed to the editor of the MCGS Reporter for inclusion in the upcoming Reporter.
 
File the General Membership minutes in the designated folder in the MPL/MCGS Office.
 
Other Duties:
 
File in the MPL/MCGS office: Job Descriptions, Financial Reports, Annual Reports, Yearly list of books purchased and donated to the Milwaukee Public Library, and any other pertinent documents.
 
Give a copy of the job description and the MCGS Constitution to new officers.
 
Prepare an Annual Report for the June Annual Meeting.
 
Upon resignation, review above with the new Recording Secretary, show where materials are filed, give a tour of MCGS-MPL Office area.
 
Monthly time needed to prepare the minutes, email and correct and file documents, etc.-- 10 hours per month
